CovertCaller Privacy Policy

We collect information that you provide directly and information generated as you use CovertCaller. The categories of information we collect include:

• Account information: Your name, email address, password credentials, and role when you register and sign in.
• Subscriber-assigned protected phone numbers: The dedicated phone numbers assigned to your account for manually initiated calls and messages and for receiving calls, SMS, and voicemail.
• Protected email aliases: The masked email addresses we assign to your account to forward and route email communications.
• Recipient contact information: Names, email addresses, phone numbers, and other details about the people and organizations who contact your protected number or email alias.
• Message content: The content of inbound and outbound emails, text messages, and replies routed through your protected number and email alias.
• Call records and metadata: Incoming and outgoing call metadata, including phone numbers, timestamps, duration, and call type.
• Voicemail recordings and transcripts: Voicemail audio recordings, transcripts, and any AI-generated summaries associated with your account.
• Billing and transaction information: Plan selections, payment activity, refill purchases, and billing history related to your subscription.
• Device and usage information: IP address, browser type, operating system, and similar technical identifiers collected automatically, along with how you interact with CovertCaller.

We use the information we collect to provide, operate, secure, and improve CovertCaller. Specifically, we use your information to:

• Provide the service, including assigning and managing your protected phone number and email alias and your dashboard.
• Route communications to and from your protected phone number and email alias.
• Display messages, call records, and voicemails within your account.
• Process payments, refills, and manage your subscription and billing.
• Prevent abuse, fraud, spam, and unauthorized use of the service.
• Provide customer support and respond to your questions and requests.
• Improve CovertCaller, develop new features, and maintain service quality and reliability.

Communications routed through CovertCaller may be automatically analyzed for the following purposes:

• Spam prevention and filtering.
• Fraud detection and prevention.
• Detection of prohibited or disallowed content.
• Security and protection of the service.
• Organization and categorization of your conversations.
• Transcription of voicemails and calls.
• Summarization of emails, texts, calls, and voicemails.

Automated analysis may use AI service providers. These providers process limited information necessary to perform the analysis and are bound by their own privacy and security commitments.

To provide CovertCaller, we rely on operational service providers that process limited information on our behalf. Necessary information may be processed by telecommunications providers and other operational service providers solely to provide, secure, and support the service. These may include:

• Telecommunications providers that carry calls, SMS, and voicemail.
• Email providers that send and receive email on behalf of your protected email alias.
• Hosting providers that store data and run the service infrastructure.
• Payment processors that handle subscription, refill, and billing transactions.
• Analytics providers that help us understand service usage and performance.
• AI service providers that support transcription, summarization, spam detection, and organization features.

These providers process only the information necessary to deliver the relevant functionality, according to our applicable agreements with them, their service terms, and applicable law. CovertCaller does not claim that your information is never processed by third-party service providers.

CovertCaller assigns a protected phone number to your account to route calls, SMS, and voicemail. We collect the mobile information necessary to provide these features, including the phone numbers that contact your protected number and the content of messages exchanged.

SMS messages are used solely to deliver the CovertCaller service — for example, routing inbound texts to your dashboard and delivering outbound messages that you manually write and initiate. We do not use SMS or mobile information to send promotional or marketing messages, and we do not share it with third parties or affiliates for those purposes.

You can stop using phone features at any time through your account settings. Standard message and data rates from your mobile carrier may apply.

Subscribers may provide their protected number to websites, service providers, or other organizations for lawful personal purposes. Those third parties may send verification codes, account notices, replies, or other automated inbound messages. Such messages are created and initiated by the third party. CovertCaller does not generate, request, control, or automatically respond to those messages.

Every outbound conversational SMS sent by a CovertCaller subscriber must be individually written and manually initiated by that subscriber.

CovertCaller does not sell subscribers' personal information. We do not sell the email addresses, phone numbers, messages, or other personal information we collect through the service.

Sharing information with operational service providers, as described above, is done to provide the service and is not a sale of your information.

We may use de-identified and aggregated information for analytics, benchmarking, service improvement, and industry reporting. Examples include aggregate statistics about message volumes, average response times, and feature usage trends.

De-identified and aggregated information is processed so that it cannot reasonably be used to identify individual subscribers. We do not attempt to re-identify individuals from de-identified or aggregated data.

CovertCaller is intended for adults 18 years of age and older. We do not knowingly collect personal information from anyone under 18. If you believe a minor has provided us with personal information, please contact support@covertcaller.com and we will take steps to delete it.

When you join the CovertCaller waiting list, we collect your name, email address, consent status, consent date and time, submission date and time, the page you signed up from, and your waiting-list status.

We use this information to administer the waiting list and send permitted launch-related email. We do not send promotional or launch email to waiting-list members until commercial email is enabled and the required sender identification, unsubscribe link, and postal address are configured.

You may withdraw from the waiting list or request deletion of your waiting-list information by using an unsubscribe link when available or by contacting support@covertcaller.com.

We retain your waiting-list information until you unsubscribe, request deletion, or until the information is no longer reasonably needed for the purpose for which it was collected.
